1. Who we are

thepilotexam.com ("we", "us", "our") is an online study platform for Australian pilot theory exam preparation. We are based in Brisbane, QLD 4000, Australia. If you have questions about this policy, contact us at [email protected].

2. Information we collect

We collect the minimum information needed to provide the service:

  • Account information — your name and email address, provided when you sign up via our authentication provider (Clerk).
  • Usage data — questions answered, scores, and practice session activity, stored to track your progress.
  • Payment information — if you purchase a paid plan, payment is processed by Stripe. We do not store your credit card details; Stripe handles this securely.
  • Device and log data — IP address, browser type, and access times collected automatically for security and analytics purposes.

3. How we use your information

  • To provide and maintain the service, including progress tracking and exam results.
  • To process payments and manage subscriptions.
  • To send transactional emails (e.g. receipts, password resets).
  • To improve the platform based on aggregated, anonymised usage patterns.
  • To respond to support enquiries.

We will never sell your personal data to third parties.

4. Third-party services

We use the following third-party services that may process your data:

  • Clerk — authentication and user management.
  • Stripe — payment processing.
  • MongoDB Atlas — database hosting (data stored in Australia where available, otherwise the nearest available region).

Each provider operates under its own privacy policy and is contractually obligated to protect your data.

5. Cookies

We use essential cookies required for authentication and session management. We do not use advertising or third-party tracking cookies.

6. Data retention

We retain your account and progress data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required by law to retain it.

7. Your rights

Under the Australian Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your account and personal data.
  • Complain to the Office of the Australian Information Commissioner (OAIC) if you believe your privacy has been breached.

To exercise any of these rights, email us at [email protected].
